Workspaces and organizations

Whether you can have more than one workspace, what each one keeps apart, and how to switch, create, rename, leave or delete one.

A Syncek organization can hold more than one workspace, and each workspace keeps its own records, objects, lists, views and members. You belong to one organization at a time, and inside it to the workspaces you have been added to, with a role in each. Organization Admins and the Owner create workspaces, and everyone moves between theirs from the workspace menu at the top of the sidebar.

One organization, several workspaces

The organization is your company's account: its people and its workspaces. A person belongs to one organization at a time. How Syncek organizes your data shows where the two sit above objects and records.

A workspace is where the work happens, and nothing in one shows up in another:

  • records, and the objects, attributes and lists that hold them;
  • views, imports and exports;
  • members, each with their own role in that workspace.

Every new workspace starts with the same four objects: Leads, Contacts, Accounts and Opportunities. A role covers a whole workspace and there is no permission on a single record, so a second workspace is how one team's records stay out of another team's sight.

Switching workspace

Click the workspace's name at the top of the sidebar, then Switch workspace, and pick one. The list holds the workspaces you belong to, with a check mark on the one you are in, and a search box once there are eight or more. Syncek reloads on that workspace's Dashboard.

Every workspace in the organization

Settings, then Organization, then Workspaces lists all of them, including the ones you are not in, with Members, Role and Joined columns. Filter narrows the list to Mine or Others. On a workspace you belong to, the menu at the end of the row has Switch to workspace and Leave workspace. To open a workspace you are not in, someone has to add you to it.

Creating a workspace

Organization Admins and the Owner click Create workspace on that page. The Switch workspace list ends in the same entry, which leads there; everyone else sees Browse workspaces instead. Give the workspace a Name. Its Slug follows the name until you edit it, and no other workspace in Syncek can have the same one. You become the new workspace's Owner, and Syncek switches you into it.

Renaming a workspace

Admins and the Owner rename a workspace in Settings, then Workspace, then General, which holds its Picture, Name and Slug. Changes save as you type, with no save button. Members and Guests cannot change them.

Leaving or deleting a workspace

  • Leave workspace, in the row menu on Settings, then Organization, then Workspaces, takes you out once you confirm. A workspace's Owner cannot leave it. Leaving your last workspace takes you out of the organization too, which the organization's Owner cannot do.
  • Delete workspace, under Danger zone in Settings, then Workspace, then General, is for the workspace's Owner only. Type the workspace's slug, pick a reason and click Permanently delete workspace. Everything in the workspace is deleted and cannot be recovered. An organization keeps at least one workspace, so its last one cannot be deleted. Anyone for whom it was the only workspace leaves the organization, except the organization's Owner.
