CRM export: where the button is in 20 tools, and what each one leaves out
The export path for twenty CRMs, with links to the vendors' own documentation, plus the sentence each vendor does not print next to it. Three of them export one list at a time.

Finding the export in your own CRM takes longer than it should, because no vendor has much incentive to signpost the door out. Nineteen of the twenty paths below link to the vendor's own documentation, read again on 13 September 2026.
The more useful column is the last one. Almost every export has a condition nobody puts next to the button, and those are the sentences that decide whether the file you download is your data or most of it.
Where is the export in each CRM?
Which CRMs export only the list in front of you?
This is worth knowing before you promise anyone a date.
Dynamics 365, Oracle CX and SAP CRM do have an export button, and in all three it exports the list in front of you. In Dynamics 365 it is Export to Excel on the command bar of the table you have open. Oracle CX exports up to 2,000 search results by default as Excel or CSV, or up to 10,000 if an administrator raises the limit. SAP CRM's Export to Spreadsheet is meant for result lists of up to hundreds of lines, and SAP sends larger amounts to its BI extraction functions. A complete copy of the data is a separate job, through the Power Apps maker portal for Dynamics or the REST APIs for Oracle, and in most organisations it belongs to somebody who is not you.
Sage CRM has a button you may not be able to see. An administrator decides which types of user see the Export to File action on searches and groups, under Administration > Email and Documents > Documents and Reports Configuration. If the option is missing, that is why.
Why is my CRM export missing rows?
Several tools export the view rather than the table, and this is the one that quietly loses rows. In Airtable, Download CSV exports what the current view shows. If a filter is applied, the filtered rows are not in the file, which is why Airtable's own help tells you to remove every filter before downloading all your records. Attio behaves the same way for columns: a field hidden in the view is a field missing from the export.
The habit that prevents it: clear every filter and unhide every column before exporting, then check the row count against what the tool reports for the whole table. Two numbers that match is thirty seconds of work and the only proof you have that the file is complete.
Does a CRM export include notes and attachments?
An export usually gives you contacts, companies and deals. It does not usually give you everything attached to them. Notes, activities and files often come out separately, and Pipedrive says so explicitly. Notion exports relations as plain-text URLs, so the link between two records survives as text and not as a link. Attachments vary by tool: Insightly cannot export them at all, along with events, comments and saved emails.
Decide early whether you actually need that history. Most teams need far less of it than they assume, and the ones who need all of it should find that out before the cancellation date rather than after.
Should you export before cancelling your CRM?
Export first, cancel second, and leave a gap between the two. A cancelled account often means a closed account, and a closed account means the export you thought you could redo is gone. HubSpot's emailed link expiring after 30 days is the same hazard in smaller form: the file was available and then it was not.
Keep the raw export untouched somewhere, then work on a copy. The first import into a new system almost never goes in cleanly, and having the original file makes the second attempt an hour instead of a day. If you are moving between systems rather than just taking a backup, the order you import things in matters more than the export itself.
Frequently asked questions
How do I export my CRM data?
It sits either in a settings or admin menu or on the list of records itself, commonly labelled Export, Data Export or Import/Export. The table above gives the exact path for twenty tools. In three of them, Dynamics 365, Oracle CX and SAP CRM, the button exports one list at a time, so a complete copy needs separate tooling.
Why is my CRM export missing rows?
Usually because the export is scoped to a view rather than the whole table, and a filter on that view excludes rows. Airtable works this way. Clear all filters, unhide all columns, then compare the exported row count against the total the tool reports.
Can I export CRM data to Excel?
Nearly always, though most tools give you a CSV, which Excel opens directly. Watch the encoding if your data contains accented characters, and import the CSV through Excel's data import rather than double-clicking it if names come out garbled. Choose UTF-8 in the import dialog, and set any column of long digits, a phone number or a VAT number, to text before you finish, or Excel will drop the leading zero.
Does a CRM export include notes and attachments?
Often not, or not in the same file. Pipedrive exports activities, notes and files separately from deals and contacts, and Insightly cannot export attachments at all. Check what you actually get before assuming the history came with it. Export the record files first and the attachments second, and count both, because an attachment that never arrives is the part nobody notices until somebody needs the signed contract.
How long do I have to download a CRM export?
It depends on the tool, and some links expire. HubSpot emails the download link and it stops working after 30 days. Save the file somewhere permanent as soon as the link arrives, rather than leaving it in the email. Treat the link as the only copy until you have opened the file and checked the row count: an expired link means running the export again, from an account you may no longer have.
Should I export before cancelling my CRM?
Yes, and leave time between the two. Cancelling often closes the account, and a closed account cannot be exported from. Export, verify the row counts, keep the original file, and only then cancel.
